   <title>02/19/10 Tip of the Week: Performance Appraisals: Tip 10 - Don't treat all employees the same.</title>

   <description>Do all employees need to be treated the same? Of course not. By way of policy, treat different employees differently. For example, if you have a rating scale of 1 through 4 where 1 is outstanding performance and 4 is marginal performance, you might consider having an interim review policy that provides more rigor for marginal employees and less for outstanding employees. Marginal performer need and should receive a quarterly interim assessment. Outstanding employees may only need a mid-year assessment. Ensure common sense, fair, and practical treatment of all those being appraised. Don't just go through the motions; appraisals are and need to be an effective tool for building high performance employees.

   <title>02/12/10 Tip of the Week: Performance Appraisals: Tip 9 - No surprises, never.</title>

   <description>The performance appraisal should never be a surprise. By discussing performance throughout the year, both parties should be well aware of the end results achieved and how those end results will be appraised. Talk to staff continuously. When end results are exceptional, take time to formally acknowledge that. When they are poor, do the same. Generally speaking, managers should provide a regular, once a quarter, interim assessment of performance. These interim assessments help to ensure an effective manager/employee discourse, an accurate final appraisal, and a no surprises along the way. </description>

Others suggest that often times measuring a few of the trivial aspects to one's performance is just a critical as the key goals and objectives. Behaviors such as being late for key meetings, letting the phone always go to voicemail, not replying to emails, dress, manner of speech, attitude, and many others are expected areas of performance whether they are in the performance plan or not.

   <title>01/29/10 Tip of the Week: Performance Appraisals: Tip 7 - Don't postpone appraisal meetings.</title>

   <description>Many managers delay or even cancel appraisal meetings. Sometimes this is because the manage is not ready to give the appraisal. Other times it is because something came up and the manager is all too eager to avoid or delay an activity that they are not that keen to do. Postponing appraisals is disrespectful. If managers are not willing to commit to the process and do a good job, then they shouldn't be managers. </description>

   <description>Many people use the appraisal process to administer salaries. This is incorrect. The appraisal process is for performance improvement, not salary administration. Of course, appraisals are a key input into salary administration, but if an employee is at the maximum salary for a position you should not stop conducting performance appraisals for that employee.

   <title>01/08/10 Tip of the Week: Performance Appraisals: Tip 4 - Don't forget that ratings are subjective.</title>

   <description>It is common to use a rating system such as 1-5 when appraising employees. Ratings are an effective way to apply a subjective assessment based upon a wide variety of criteria. However, ratings are not real in the sense that if two or more people rate the same employee, the likelihood of everyone agreeing is very small. Seek to fairly apply the rating system, but don't let the final, subjective, grade personify or label the employee being rated.

   <description>Many managers spend more time on the actual performance appraisal of an employee than they do on the initial performance planning and ongoing performance communication. This is a mistake and will always lead to a poor appraisal interaction. The performance appraisal is merely the end of an ongoing process. More attention should be given to employee development and preventing performance problems rather than merely evaluating at the end of the year. This will also make the appraisal easier to give and more comfortable for the employee to receive. And, it will also greatly reduce if not eliminate surprises. </description>

Just because a workplace professional is not trained in project management or does not have a certification that does not make them an informal or accidental project manager. Such professionals are not accidental project managers, the projects they manage are not accidental, and the needs that they have for knowledge, processes, and tools are not accidental. It is not only incorrect to view these things as accidental or to overlook them altogether, but it is bad business judgment and intellectually dimwitted.

Take advantage of tools like email, collaboration platforms, project team tools, and especially don't forget about the phone.

Terrorists implement complex project portfolio management applications never having the time to plan for it, but always having the time to do it over and over again. Obsessed with technology for technology’s sake, Terrorists no longer understand or care about the business that the company conducts and the customers that they serve. And, the resulting problems they cause far more than frustrate the company; they institutionally terrorize it at all levels - employee, manager, executive. Where Deming lived by the motto, “Fix the process, fix the problem,” these technology terrorists live by the motto, “Use enough technology, and the problem should go away.” The terrorist level of maturity is the most dangerous level. </description>

There is nothing wrong with any of the buyer types. In fact, you need to align your technology acquisition strategy and purchases with the buyer type that is best for your company and working environment. By understanding and knowing your buyer type, you can purchase and implement the vendor offerings that are best for you whether that is the latest bells and whistles or a time-tested, mature product that already enjoys an established customer base. </description>

Get everyone educated in Sarbanes-Oxley as early as possible. </description>

   <description>Quite often, it is helpful to first define the "as-is" state of a process before discussing and debating options to arrive at the "desired" state of the process. A clear understanding of the "as-is" state enables the team to discuss and debate what works well, what needs improving, and to agree upon actionable process improvement suggestions. Conversely, trying to achieve the "desired" state for a process without a full understanding and agreement of the "as-is" state can often lead to mis-communication due to differing points of reference as well as process improvement suggestions that may not meet the needs of all parties involved in the process. </description>

   <description>How do you recognize project managers? Most of them are every good at what they do and it is expected that they will manage projects well. One approach that more and more PMOs are adopting is to provide incentives and recognition for process improvement and process ownership. Rather than experiencing the same difficulty over and over again, recognition and incentives for process improvement encourage and reward project team members to get involved. The end results are not just lessons learned documents, but practical improvement suggestions to streamline processes, improve best practices, and eliminate defects and waste. As Edward Deming put it, "Fix the process and you fix the problem." </description>

Hence, process owners help drive continuous improvement and institutionalization of the PMO processes and best practice knowledge, skill, and execution capabilities.  </description>

   <description>There are those in the Project Portfolio Management (PPM) vendor community that say their product has everything you need to manage a PMO. While PPM tools can be very helpful to a PMO, also required are processes that are scalable to project type and size, whether used with the PPM tool or not, and a collaboration platform to share project documents and information. Though PPM tools provide some collaboration features, most PMOs seek to use the existing enterprise collaboration platform rather than placing project files and folders in an additional repository. Processes, tools, and collaboration work together and are each required to effectively manage projects and continually improve the organization. </description>
